How to Apply to a Malaysian University Step by Step
Applying to a university in Malaysia is more straightforward than many students expect — but knowing the steps in advance makes everything much smoother. Here's a clear, practical guide from start to finish.
The Application Process
- Research & Choose Your Program Start by identifying which field you want to study and at which level (foundation, diploma, undergraduate, or postgraduate). Compare universities based on program reputation, tuition fees, campus location, and available scholarships.
- Check Entry Requirements Each program has its own academic requirements. For undergraduate programs, you'll typically need your secondary school certificate (SMA/equivalent). For postgraduate, a relevant bachelor's degree is required. Some programs also require English proficiency scores (IELTS/TOEFL) or a portfolio.
-
Prepare Your Documents
Common documents include:
— Certified copies of academic transcripts and certificates
— A valid passport (minimum 18 months validity)
— Passport-sized photographs
— Personal statement or motivation letter (for some programs)
— English proficiency certificate (if required) - Submit Your Application Applications can be submitted directly to the university's admissions office, through an authorised agent like Scholvia, or via the university's online portal. Make sure all documents are complete and certified before submitting.
- Receive & Accept Your Offer Letter If your application is successful, the university will issue a Conditional or Unconditional Offer Letter. Review it carefully — check the program details, tuition fees, and any conditions you need to meet. Once happy, sign and return the acceptance form along with your deposit.
- Apply for Your Student Pass (Visa) After accepting your offer, the university will initiate your Student Pass application through EMGS (Education Malaysia Global Services). You'll need to submit additional documents including a medical report and police clearance letter. See our visa guide for full details.
- Prepare for Arrival Once your Student Pass is approved, arrange your flight and accommodation. Your university will provide an orientation and will guide you through the VAL (Visa Approval Letter) and entry process upon arrival.
Tips to Strengthen Your Application
- Apply early — intakes fill up, especially for popular programs
- Make sure all documents are properly certified and translated if needed
- Write a genuine personal statement that explains your motivation
- Ask your agent (or Scholvia) to double-check your application before submission
- Keep copies of all submitted documents for your own records
